Sharing and discovery
You can share routines with teammates, preview shared routines before install, and add shared routines to your own workspace.
How routines work
Each routine has four components:
- Trigger — When the routine runs (new email, on a schedule, when a meeting starts, and more)
- Instructions — What the routine does (written in plain language or as a series of steps)
- Tools — What actions are available (read email, add label, send message, etc.)
- Mode — How much autonomy (autonomous, approval-required, or read-only)
When a trigger fires, your assistant executes the routine logic using the available tools. Actions are logged so you can see exactly what happened.
Start with the defaults. Stock routines are pre-configured with settings that work well for most people. After a few days, review the run logs and adjust if needed.
Customizing routines
After enabling a routine, you can:
- Edit settings — Adjust schedules, filters, or preferences
- Change mode — Switch between autonomous and approval-required
- Modify tools — Add or remove capabilities
- Update logic — Customize behavior with your own instructions
