Schedule Assist

Stop playing calendar ping-pong. Schedule Assist detects when someone wants to meet and automatically suggests times that work for you. It checks all your connected calendars, follows your preferences, and drafts a reply with available slots — so you can respond in seconds instead of minutes.

How it works

  1. Someone emails asking to meet — “Want to grab coffee next week?”
  2. Your assistant checks your calendar across all connected accounts
  3. It finds times that work based on your availability and preferences
  4. You get a draft reply with suggested time slots ready to send

You review the draft, make any changes, and send when ready.

Scheduling rules

Write your preferences in plain language. For example:

No meetings before 9 AM No meetings after 5 PM Keep 12-1 PM free for lunch Prefer afternoon for external meetings 15 minute buffer between meetings

Your assistant follows these rules when finding available times.

Response modes

Create draft reply — A draft appears on the original email thread. Review it, tweak if needed, and send.

Email me the suggestions — Your assistant emails you the suggested times. You manually reply to the person.

Multiple calendars

Your assistant checks all your connected calendars before suggesting times. If you’re busy on any calendar — work or personal — that time won’t be suggested. This prevents double-booking across accounts.

Pending time offers

If you’ve already offered times to someone and are waiting for their response, your assistant remembers. It won’t suggest conflicting times until they respond or those times pass.

When a time is confirmed

Once you and the other person agree on a time, your assistant can:

  • Create a calendar event (with your approval)
  • Send you a confirmation to book it yourself
  • Provide a Google Calendar link to create it manually

Be specific in your scheduling rules. The more detail you provide about your preferences, the better your assistant can find times that actually work for you.

What if there’s no availability?

If your assistant can’t find suitable times in the next 7 days that match your preferences, it will email you instead of sending an unhelpful reply. You can then decide how to handle it.

Adjusting your settings

  1. Go to Workflows in the sidebar
  2. Click on Schedule Assist
  3. Update your scheduling rules and preferences
